The Challenge

Some invoices (fuel, tolls, telecommunications, insurance, among others) were not accounted for in the necessary detail and it was extremely difficult to make the correct allocation to each employee. The procedure used to be 'put everything together' because there was no possibility of allocating the costs of each item of the invoice to each individual person or project related to it.

The solution

With ALLOS it was possible to import the data sent by various vendors (in different formats, such as Excel or CSV) and all the routines were automated.

The various data (fleet & fuel, insurance, tolls, mobile communications or others) are received on file. Accounting, through ALLOS in Excel, imports the files. ALLOS works the data, crosses it with internal data (for example, with the collaborator to which the car or phone is allocated) and sends it to SAP without the need for manual input. All of this, controlled directly by the business users.

 

 

The results

With ALLOS the time to process has drastically reduced from 4 days to 1 day, even with more data and more detailed information used later in detailed analysis.

Complete idependency from IT exists in controlling the interface parameters and the integration to SAP.
